How to Create a Digital Planner with Hyperlinks in Keynote
Paper planners are all good and well, but sometimes, you just need the convenience of digital planning. Here's a simple tutorial on how to create a digital planner with hyperlinks in Keynote on the iPad.
Using the 2018 Apple iPad 6th Gen for Planning
I just recently started using the Apple iPad 6th Generation 32 GB for practically everything. I use it to take notes, read textbooks and plan my days. I've also learned how to create a completely digital planner with the Keynotes app and Goodnotes.
While my physical notebook planner helps me sort out my thoughts, I keep it at home. There are a ton of personal things on it that I don't feel comfortable taking around with me.
The iPad comes in handy when I'm out and about getting things done - school, work, daydreaming and creating.
I had the option of choosing between the iPad Pro and the new 6th Gen iPad ($329), and I ended up choosing the 6th Gen 32 GB, because it was a lot cheaper than the Pro version but could do just about all the same things. I already have 50 GB of iCloud storage ($0.99/month) that I use to hold all my files, which keeps my iPad free from digital clutter.
The total cost of all the items I bought were less than the cost of the iPad Pro alone ($649), so I consider that a WIN.
Create a Digital Planner with Hyperlinks in Keynote on the iPad
This is my first complete digital planner that I created, and I am so very proud of how it looks - and the links work! I was mind blown when I found out you could do this. Amazing. I'll show you how to do it!

The order in which you create your design MATTERS. Things have to be done in a certain order to avoid major frustration, so just stick with me, and you will not be disappointed.
Things you'll need:
- Goodnotes or other planner app that takes pdf planner type files
- Overall plan for your planner design. Mine was:
- Tab for the front page
- Tabs for each month
- Tabs for Calendar, To Do, Goals and Notes
- Sticky Notes
Open up Keynote and create a new presentation by pressing the + button. I like to use the plan white template and delete the standard text boxes. You won't need them.
Choose your notebook background. I used this pretty feather print, but you can leave it blank too. You can save files to Dropbox or iCloud or iPad storage and insert them into the presentation.
When I imported this image, it was too big for the presentation space, so I adjusted the opacity of the image. This way, I can see the shape of the presentation behind the image, and I just trimmed it to fit.
After changing the opacity (making it see through), you can see the white box behind the large image. Trim the image to fit the white box, and you will have a perfectly-sized image.
The Edit Mask tool allows you to select which part of an image will remain visible. I want to edit the mask so that the parts of the image that are outside the lines of the white presentation box are not visible.
When the mask box appears, drag the blue buttons in toward the edges of the presentation box.
Now, we're going to add the "paper" spread of the planner. Click the + and select the rounded square shape. Resize it to fit and adjust the colors, shadows to your liking. I like a white page with some shadows.
I like to add a line in the middle that looks like the inside fold of a notebook. Click the + and select the line tool. Adjust to fit the center (guidelines pop up in orange when you're aligning items in Keynote) and choose the color gray with a shadow to add depth.
For the pages, you can leave it blank or insert templates that you have - I have this dotted grid from September Leather that I like to use. Just insert the image, resize and use the Edit Mask tool again if necessary.
To create the tabs, you just click + and select the rounded square shape. Move the shape to where you want it and adjust the placement. Place it behind the white pages but in front of the background of the notebook. You can use the Arrange function for this.
If you find that your tabs need more space, resize the white pages of your notebook. I brought the top down a bit so that I had space to label the tab.
Next, you're going to add the pages that the tabs will be hyperlinked to. For each tab you have, you'll need to create a new slide. Click the + on the bottom of the page and select the last slide option, which is an empty slide.
When you have all the slides you need for each tab, you will link the tabs to the slides. Click the tab that you want to link, and the link option will pop up.
When labeling the tabs, you can do this here, or you can do this in Goodnotes. If you do it here, you can't change them in Goodnotes. The good thing about labeling them in Goodnotes is that you can change up your labels if you need to.
To add labels here, you just click the + and add Text. Edit the font, color and size of your text with the paintbrush tools.
This is important: when you are sure you have added all you need to add to your planner layout, you can continue on. Don't continue if you are still adding items like tabs or other elements.
Now, you can copy and paste the entire layout onto each slide that you created. Click outside the background of your notebook, and a menu will appear - click Select All and Copy.
Click each slide and paste the layout into each of these slides.
When you've finished pasting the layout into each slide, you can now edit the front page of your design. I changed mine up to look like this in my Feathers design. I didn't touch the tabs so that the links would stay linked. Now, whenever I click the Front tab, it'll take me to this page. Lovely!
So you've finished your design. Now, it's time to export your presentation as a PDF file. I like to save my files to iCloud and then import into Goodnotes. You can import directly to Goodnotes if you like that better. Click the ... in the top right corner and select Export > PDF > where you want to export.
In Goodnotes, click the + to import your planner PDF file.
You have created a digital planner with hyperlinks in Keynote! Try not to go crazy and make a bunch of 'em all at once.
The hyperlinks should work, and the tabs should link you to the pages that you set them to. To use the links, you must make sure that you click the READ ONLY button. If it is not clicked, the links won't work, and you'll just draw all over your planner page.
And there you have it. It's definitely a process, but it's fairly simple once you get the hang of it. You'll be addicted to creating digital planner designs in no time!
